Inverter RMA Checklist: Evidence Before a Return

· SH Energy editorial

Build the evidence pack before arranging a return.

For an inverter return enquiry, identify the exact equipment, describe the observed problem, gather existing purchase and service records, and ask the responsible supplier for written next steps. A case number is not a warranty decision. Do not assume that a return, replacement or transport cost has been approved.

1. Separate the symptom from the diagnosis

Record what the installer or operator actually observed: the exact event message, when it first appeared, whether operation stopped, and any recent system changes. Label a suspected cause as unconfirmed. A fault code does not by itself prove a failed component.

Use information already safely accessible: a readable nameplate, monitoring screenshots and existing logs. Do not open equipment, expose terminals, bypass protection or make live measurements for this checklist. Inspection and repair belong to qualified personnel following the applicable manufacturer's instructions.

2. Assemble one traceable case folder

The SMA Sunny Island service checklist is a manufacturer-specific example of requesting device identity, firmware and event information. It is not a universal RMA requirement, and does not establish SH Energy as an authorized service partner.

3. Get the supplier's decision in writing

Ask who owns the case and which documents are still missing. Request confirmation of the applicable warranty terms and whether the supplier proposes inspection, repair, a part, or another device. Keep the actual decision with the original evidence; do not replace it with an informal statement that the product is “under warranty.”

If a return is requested, ask for the case reference, approval where required, receiving address, packing requirements and any supplier-specific return conditions. Confirm who arranges and pays for transport, and what happens if the claim is rejected. This guide does not determine customs treatment or dangerous-goods classification; those require a case-specific logistics assessment.

4. Keep replacement procurement separate

A replacement offer is a new technical and commercial decision. Record the full offered model and revision, relevant system interfaces, applicable documents and warranty terms. Do not infer compatibility from power rating, appearance or a familiar brand name.

SMA's device-replacement process illustrates a manufacturer-managed service route. Other suppliers may use different processes. If you need a separate procurement option, use our battery–inverter compatibility checklist and RFQ guide; a potential sale must not be presented as an already approved warranty replacement.

Copy-ready supplier enquiry

Company / installer and country: Manufacturer / full model / serial number: Observed symptom and first occurrence: Existing screenshots / logs / technician findings: Purchase or order reference: Existing warranty / case reference: Requested outcome: Please confirm the missing evidence, case owner and applicable terms. If a return is required, please provide written return instructions. If a replacement is offered, please identify its exact model and terms.

Frequently asked questions

Does an RMA enquiry mean warranty approval?

No. Opening a return enquiry is not approval of warranty coverage, repair, replacement or reimbursement. Ask the responsible supplier for its written decision and applicable terms.

Should I ship the inverter before receiving instructions?

Do not assume the supplier will accept an unsolicited return. Obtain the case reference, return approval if required, destination and packing instructions before arranging shipment.

Can SH Energy approve another manufacturer's warranty?

No. SH Energy can help organize model-specific documents and coordinate enquiries with China-side suppliers. The responsible manufacturer or supplier decides warranty coverage and service options.

What if a replacement is offered instead of repair?

Ask for the exact offered model and written confirmation of system fit, applicable documentation, warranty terms and supply conditions before accepting or purchasing it.
